Users

Use this screen to review/edit existing users and to add or delete users.

Additional tabs allow you to define user groups and user profiles.

To add a new user:

  1. Click Add New.
    The Add New User screen opens.  

  2. Configure the parameters described below.

  3. Click Save.

 

NOTE: You can add many users at a time using the Auto Sync feature.

 

Parameter

Explanation

User Name

Mandatory. Sentinel uses the user's Windows login name (from Active Directory or the local workstation) to identify the user. Make sure you use the correct name when adding a new user. The user name is not case sensitive.

Alternate User

An alternate user name that is used for the same user. This is common in ERP systems where the ERP user name is different from the network user name.

Description

A text description of the user.

Card ID

Mandatory (alphanumeric). The user's identification code. Sentinel uses this ID to track the print jobs as they move through the system. Users identify themselves with this ID when they pull their print jobs.

Keypad Code

Since card IDs can be very long, the keypad code is a convenient alternative for users who want to enter a short code at the device controller rather than using a card. An alias for Card ID.

Temp Card ID

An alternate card ID for this user. Allows you to assign another card ID for this user (for example, to give the user a temporary card to replace a lost card) without having to delete the original card ID.

User Type

The administrator can connect to the Sentinel Web interface from remote machines and see the full administrator menu, whereas non-administrators only see their own print jobs.

Group

If you use Sentinel reports to track print activity within groups, you must assign a group to each user. Define the groups in the Groups tab. You can synchronize the groups with fields in the Active Directory.

Profile

Attach the user to a particular profile, which you define in the Profiles tab.

Mail

The user’s email address for receiving scanned documents (see Scan Direct in the Add New Device screen) and direct printing of email messages and attached files (see Mail2Print).

Scan to Folder

The path (local or network) of the folder to which scanned documents for this user are sent.

Print Option

Inherited from the group and profile settings.

Default Printer

On which printer to print jobs if the printing is automatic (i.e., the device is virtual and Auto Print Jobs (push printing) is selected).

Manager

Another user whose jobs can be released by this user. For example, a manager has several assistants, so put the manager’s user name in this field for each of the assistants, and then all of them can release print jobs for the manager.

Secretary

You can select another user name (hereafter: "second user"), so the first user can release the print jobs for the second user as well. For example, several managers share a secretary, so put the secretary’s user name in this field for each of the managers, and then this secretary can release print jobs for all the managers.

Allow Web Release

Allows the user to log in to the Sentinel server web interface and release jobs without using the reader device. When not selected, the Release Now button is unavailable on the Waiting Jobs screen.

Allow Keypad Release

Allows the user to release print jobs by entering their keypad code or the card ID in the device controller.  

Delete Unprinted Job After

After this number of hours has elapsed, if the sender does not pull the job, Sentinel deletes it. If not defined, default comes from Document, under Delete Unprinted Job After.

Quota Policy

Predefined quota policies.

Budget

The budget allocated to this user. If zero, is unlimited.

Update Limits

After selecting a quota policy, you can force Sentinel to update the user’s limits according to that quota policy. The default value for a new user is to update the quota, and the default value when editing an existing user is not to update the quota.

Auto Print Jobs (Push printing)

Allows releasing print jobs automatically to the default printer.

Save Printing Jobs (Spy)

Allows saving print jobs as files.

Don't Delete on Auto Sync

An informative field in the database that can be used for external purposes.

Force Bill Code

When using an external client, requires a bill code. Overrides the Use Bill Code definition selected in the device.

 

You can take the following actions:
